We take care of your personal information

Your employer works with Aon to provide you with the best possible insurance advice regarding your expatriation. It is very important to us to protect and respect your right to privacy and therefore, we will state in this notice what we do to make sure that your personal data is processed securely.

Aon is responsible for the personal data we process

Aon Denmark A/S is data controller for the personal information that we process regarding the service we provide as an insurance broker. This means that we will only collect, store, process, delete and pass on your personal information to third parties, when necessary, in order to provide you with the best advice and service regarding your or your employer's insurance.

What personal information do we use?

On expatriation, Aon will process the following personal information about both you and your family, which we either receive from your employer or yourself: contact information, family relations and social security number.

If it’s you who discloses your family's information to us, please make sure that they agree with our processing of their information and that they receive this message.

The basis of processing

We collect personal information based on the necessity for us to pursue our legitimate interest in fulfilling our contractual obligations to your employer.

With regard to the use of social security numbers, this is a natural part of the normal operation in our company and is of crucial importance to ensure a unique identification of you, and in certain cases, of your family members, e.g., for visa applications.

Disclosure of personal information to third parties

Processing your personal data legally and transparently is very important to Aon. We will not disclose information to any third party without your consent, unless required to comply with an agreement with you, your employer or if it is necessary to ensure compliance with applicable law. We do not use your personal information for purposes other than those described in this notice.

It may be necessary to pass on your personal information to selected and trusted partners as well as to Aon's group companies to provide our services and advice to you. You can see a list of our group companies here. For example, we pass on personal information to partners who use your personal information with regard to setting up and maintaining your insurance scheme.

It is our responsibility to ensure that your personal information is not misused or unnecessarily processed. Therefore, we have strict requirements as to those whom we pass on your personal information to when this information is used outside of Aon, and always demand and ensure that our partners guarantee that your personal information is duly protected.

For IT development, hosting and support, personal information can be transferred to recipients outside the EU/EEA, for example the USA, Great Britain, Singapore, India, and the Philippines.

We use several legal means, including standard contracts approved by the European Commission or the Danish Data Protection Agency, to ensure that your rights and your legislative level of protection are observed.

Secure storage of personal information

Aon is committed to protecting your privacy. We use technical and organizational measures to secure your personal information against unauthorized access and use, destruction, alteration, or disclosure. To ensure data security and integrity, only a limited number of Aon employees with a specific objective and a necessary need have access to your personal information.

In addition, all employees at Aon must follow internal procedures and rules regarding the handling of personal data and are obliged to regularly participate in training in the secure processing of this.

Deletion of personal data by Aon

Your personal information will be deleted when you are no longer a customer of Aon, and we no longer need to document what advice we have given you. Identity and transaction information is stored for a minimum of five years in accordance with accounting legislation.

Your rights

You have the right to receive information regarding the processing of your personal data as well as a copy of the personal information that we process about you. If you become aware that the personal information, we process about you is inaccurate or incomplete, you have the right to have it corrected.

You also have the right to object to our processing of your personal data and request that your processed personal data be deleted, restricted or, in certain circumstances, that you can receive your processed personal data or have it transferred to another data controller in a structured, commonly used, and machine-legible format.

If your request is justified, we will correct, delete, restrict the processing, or transfer your personal data accordingly. We reserve the right to require from you verification of your identity before we respond to your request.
